Most companies do not run on one piece of software. They run on five or six. Work is planned in one tool, appointments are booked in another, the sales pipeline lives in a third, and invoices are written in a fourth. Each product does its job, but the business itself has to carry information between them: the customer's details are typed again, the job that was sold is described again, and nobody is quite sure which system holds the current version of the truth.

Today, Spotbookr is introducing Spotbookr Business, a set of four products for the everyday work a company runs on: Project Management, Scheduling, CRM and Invoicing. They share one company account and one sign-in, and they are built on the same data platform as the rest of Spotbookr's products. A company can take one of them or all four.

The launch extends Spotbookr beyond advertising intelligence. Over the past year we have built the infrastructure to collect, organise and report on very large amounts of information for brands and agencies. The same foundations, including roles and permissions, a full audit history, reporting and export, turn out to be exactly what a growing business needs from its operational tools.

Project Management

Project Management is a complete planning tool for teams that deliver work on a schedule. It supports backlogs and sprints, boards with swimlanes and work-in-progress limits, a table view, a timeline that can be dragged by the day, a calendar, a daily stand-up view and reports such as burndown and velocity.

Work items can be epics, stories, tasks, bugs, milestones or types a team defines for itself. Projects can be started from templates, customised with their own colours and views, and shared with a client through a private link that needs no account. Rules can be switched on to carry out routine work automatically, such as assigning items, flagging work that is overdue, and starting or completing sprints on schedule.

Scheduling

Scheduling gives a business a public booking page and a diary that respects everyone's working hours. Customers choose a service, a person and a time, and receive a confirmation they can add to their own calendar. They can reschedule or cancel from their own link, within the rules the business sets.

It works just as well for a barber or a clinic taking bookings all day as it does for a project team blocking out work time. Services can have their own length, price, buffer and number of places, so group sessions are supported alongside one-to-one appointments.

CRM

The CRM holds contacts, companies and deals, with a drag-and-drop pipeline whose stages and win percentages each company sets for itself. Every contact has a full record: their details, deals, appointments, invoices and a timeline of every call, email and note.

A public enquiry form turns a website visitor into a contact, a deal and a task to reply. Large deals can require a manager's approval before they are closed, and reports cover the forecast, the funnel and win rates.

Invoicing

Invoicing covers the path from the estimate to the money. A business saves its products and prices once, sends an estimate the customer can accept online, and the accepted estimate becomes the invoice automatically. Invoices carry the company's own logo and wording, download as PDF, and track payments, part-payments and credits. Companies that connect their own Stripe account can be paid by card directly from the invoice.

Built to work together

The products are useful on their own. They are more useful together, because the information moves with the work.

  • An enquiry arrives in the CRM and becomes a deal.
  • A meeting for that deal is booked in Scheduling.
  • An estimate is written from the deal, and when the customer accepts it, the deal is won.
  • The accepted estimate becomes the invoice, carrying the customer's details and every line.
  • A project is started from the won deal, with the customer, what was agreed, and a task for each line of the estimate.
  • Work time for those tasks is booked on the same calendar the customer appointments use.

Nothing is typed twice, and each record links back to where it came from.

Roles, history and your data

Every person has a role in each product, so a sales rep, a project member and a finance manager each see and change only what they should. Every change is recorded in an audit history. Reports can be exported, and the account owner can download all of the company's data at any time.

Pricing and availability

Each product is $4.99 per user per month when billed yearly, or $5.99 month to month. All four together are available as the Founder Starter Kit, and an Enterprise plan covers the whole suite for up to ten people for one yearly price. Both of those plans also include Document Signing, so customers sign the estimates they accept and teams sign and file documents alongside their work. Every per-user plan starts with a 14-day free trial.

There is also a live demo that opens the whole suite with example data. It asks only for an email address, and nothing is saved when it is closed.
